Batchly Memberships lets an independent shop sell monthly or annual plans, hold the card on file, bill on schedule, retry failed payments automatically, and give members a portal to update a card or cancel themselves. It is included in the $99/mo plan.
Name a plan, set the price and the perks, and add the member at the counter or send them your online checkout link. The card goes into your merchant account's vault from the gateway's hosted form, so Batchly never sees the number. From there the plan bills itself, failed payments are retried on a schedule, and every renewal shows up in Subscription Analytics and in QuickBooks. Members get a link to manage their own card or cancel.
A plan is a name, a price, an interval and the perks that come with it. Make as many as you need; only an owner or manager can create or change one.
Bill every month, every 12 months, or any count of days, weeks or months you choose. Monthly plans bill on the member's start day, capped at the 28th so February never skips. The subscription lives on your merchant account and runs on that schedule.
Write the perks in plain words: 10% off, a free coffee a month. When staff look a member up by name or phone at the register, the perks show on the sale screen, so they are honored without anyone asking.
Add your membership terms to the plan. New members accept them with a checkbox at signup, or later in their portal, and Batchly stamps when it happened. Need a hold? Pause a membership with a resume date and billing stops until then.
Three ways in. In every one of them the card goes into the gateway's hosted form and Batchly only ever holds a vault reference.
Turn on online checkout and Batchly hosts a checkout page for your store. It lists your plans; the member picks one, agrees to recurring billing, and enters the card in the hosted fields. No consent, no charge: the server refuses to subscribe anyone who has not agreed.
Copy the checkout link from your Online tab and add the plan to it. Text or email it and the member signs up on their phone. You can also run the checkout on your own website: copy Batchly's reference checkout page onto your site and the club lives there, under your brand, on the same billing rails.
Open Memberships, add the member, pick the plan, and turn the screen: the card fields are the gateway's hosted form, so the number is tokenized in the browser and never typed into Batchly. The agreement is accepted right there.
Your gateway's recurring engine does not retry a failed payment. Batchly does, on a schedule, and shows you what it recovered.
Each membership is a recurring subscription on your merchant account. Renewals run on the plan's cadence with nothing for staff to remember, and every payment is written to the membership's history where you can read it back.
When a renewal fails, the membership moves to past due, the member gets an email, and Batchly retries the card 1, 3, 5, 8 and 12 days later. Lost, stolen, expired or closed cards are not retried; they wait for a new card. Nothing is canceled by a robot: a card that never recovers stays past due and flagged for you.
The Memberships tab shows MRR, MRR at risk, active members and 30-day churn at a glance. Subscription Analytics below it adds annualized run rate, net new MRR this month, expected renewals for the next 30 days, and the dollars retries recovered in the last 90 days. The number your other systems never gave you.
Every member can get a secure link to batchly.shop/member. From there they handle their own card and their own membership.
Press Card link on any member and Batchly copies a secure link, with the option to email it. The link is scoped to that one membership and expires in 30 days. The member sees their plan, their status, and the agreement if they have not accepted it yet.
The card fields on the portal are the gateway's hosted form. If the membership is past due, the new card is charged right then and the membership goes active again, without a call to the store.
Cancel my membership is one button and a confirmation. Billing stops right away, the member sees it in writing, and the cancellation lands in the membership's history. Regulators expect cancel to be as easy as sign-up; so do your members.
Memberships are a tab in the register, not another dashboard. The numbers live with the rest of your sales.
Look a member up by name or phone on the sale screen. Perks show; a past-due flag prompts the card conversation before the sale, not after. Same login, same roles: only an owner or manager can enroll a card in recurring billing, cancel it, or refund.
The Transactions tab exports membership revenue for the last 7, 30 or 90 days as a CSV, and a QuickBooks journal file that carries counter sales and membership payments together. One download for the bookkeeper, not two.
The QuickBooks Online sync posts membership revenue to a Membership Income account, day by day, in the same sync run as your counter sales, so dues show apart from retail in the books. All integrations →
Turn on a points program in Memberships: shoppers earn on every sale tied to their profile and redeem points as a pre-tax discount at the counter. You set the earn rate and point value; only an owner or manager can change them.
Attach the customer to the sale and points post to their profile automatically, at the earn rate you set. Test-mode sales never earn.
Points come off the sale before tax at the point value you set, once the balance clears a minimum you choose. Every earn and every redemption is kept in an append-only ledger, so the balance is always traceable.
The earn rate, the point value and the on switch are owner-and-manager settings, enforced by the database and not just the screen. Staff can honor points; they cannot mint them.
