Batchly's QuickBooks Online sync is an Intuit-approved production app that posts a daily journal from your register to your books: gross sales, the card fees you absorbed, and refunds, posted to your chart of accounts under Undeposited Funds, Sales Income and Merchant Fees. It is included in the $99/mo plan.
Connect once from Reports, then press Sync now whenever you like. Each complete day of sales since your last sync becomes one balanced journal entry in your QuickBooks company, and a day that is already there is never posted twice.
Every complete day of register sales becomes one balanced journal entry in QuickBooks Online. No line items, no inventory, no customers: a clean daily summary your accountant can reconcile against the deposit.
The day's sales are credited to Sales Income, net of refunds, so income is never overstated.
Only the share of the processing fee you paid is booked as an expense. When the customer covered the fee under dual pricing, nothing posts to Merchant Fees; on a split, half does.
What you actually took in for the day lands in Undeposited Funds, ready to match against the bank deposit.
A partially refunded sale posts only what you kept. A sale refunded in full posts no income at all.
Each day carries its own document number, BATCHLY plus the date (BATCHLY-MEM plus the date for membership revenue). A day already in QuickBooks is skipped, however many times you press Sync now.
Sales made in Batchly's test mode are never posted. Only real, complete days reach QuickBooks.
Tips are credited to Tips Payable, a liability, so Sales Income is never inflated by what belongs to staff.
Membership revenue posts as a second journal, BATCHLY-MEM plus the date, to a Membership Income account.
Batchly debits what you collected and the fees you absorbed, then credits Sales Income with the sum of those debits. The entry balances no matter how the rounding falls, and QuickBooks receives the same core accounts every day, plus a Tips Payable line on days that carried tips.

Connecting is owner territory: only the store owner can link a QuickBooks company. Once connected, a manager or the owner can sync.
In Batchly, open Reports. The QuickBooks Online card sits at the top. Press Connect QuickBooks. You need the owner role on the store.
Intuit asks you to sign in and pick the company. Approve the accounting scope, the only one Batchly requests. You are returned to Batchly, connected.
On the first push Batchly looks for Undeposited Funds, Sales Income and Merchant Fees in your chart of accounts by name, plus Tips Payable if you take tips and Membership Income if you bill memberships, and creates any that are missing. Nothing to map.
Every complete day since your last sync is posted, one entry per day; the first sync covers the past 32 days. A day already in QuickBooks is skipped, so press it as often as you like.
Batchly sends QuickBooks the minimum a balanced entry requires. There is no card data in Batchly to send, and your QuickBooks tokens never leave the server.
Amounts, dates, account names and a one-line memo such as Batchly daily sales. That is the whole payload.
No card numbers exist in Batchly, so none can be sent. No customer names, no line items, no inventory.
Your QuickBooks access and refresh tokens are stored encrypted in a server-side vault. They never reach the browser, and Batchly refreshes them on the server.
Only the store owner can connect a QuickBooks company. A manager or the owner can press Sync now.
Revoke Batchly from the Apps page in QuickBooks Online and it can no longer post to your books. Reconnect later from Reports if you want to resume.
Sales made in test mode are never posted, and only complete days post, never a partial today.
Email or call with anything about the connection. For how Batchly handles your data, read the Terms, the Privacy policy and the Security page.
No. It is a live connection: an Intuit-approved production app that posts journal entries straight into your QuickBooks Online company, one for each complete day of sales.
Batchly posts to accounts named Undeposited Funds, Sales Income and Merchant Fees. If your company already has an account by one of those names, Batchly uses it; if not, it creates it. Tips post to Tips Payable and membership dues to Membership Income, created the same way. Batchly does not offer custom account mapping today, so a bookkeeper who prefers another account reclassifies the entry in QuickBooks.
No. QuickBooks Online sync is part of the $99/mo Batchly plan.
Yes. Revoke Batchly's access from the Apps page in QuickBooks Online at any time. Once access is revoked Batchly can no longer post to your books, and you can reconnect later from Reports.
The store owner. Once connected, a manager or the owner can press Sync now.
Nothing is posted twice. Each day carries its own document number, and a day already in QuickBooks is skipped.
No. Sales made in Batchly's test mode are never posted to QuickBooks.
No. The journal is a daily summary. Line items, inventory, customers and sales-tax lines are not sent to QuickBooks.
Tips are credited to Tips Payable, a liability, never to Sales Income. Membership revenue posts as its own daily journal to a Membership Income account. Both accounts are found by name or created for you.
Connect QuickBooks from Reports in about two minutes. The sync is included in the $99/mo plan, and the trial is 21 days with no card to start.
